This Privacy Policy explains how Bandworks and its affiliated products, including Greenroom.bio, collect, use, and share information when you use our websites, applications, and related services (collectively, the "Services").

1. Information We Collect

Account and Artist Information

When you create an account or manage an artist page, we may collect your name, email address, username, authentication identifiers, artist information, uploaded content, page settings, and other information you choose to provide.

Fan Subscription and Consent Information

When a fan subscribes to an artist through Greenroom, we collect the fan's email address and records needed to manage that subscription, including:

• Subscription and confirmation status
• The date, source, and IP address associated with consent
• Unsubscribe activity
• Hard-bounce and spam-complaint status
• Announcement delivery status and related technical identifiers

An artist may also add an individual fan after confirming that the fan explicitly agreed to receive marketing email from that artist. Greenroom does not support purchased, scraped, or bulk-imported contact lists.

Communications

We collect information you provide when you join a waitlist, contact us for support, confirm an email subscription, or otherwise communicate with us or an artist through the Services.

Analytics and Technical Information

We use PostHog to understand how visitors use the Services. This information may include:

• Pages viewed and time spent on them
• Browser, operating system, and device type
• General geographic location
• Referral source
• Clicks, scrolling, and other interactions
• IP address, logs, and diagnostic information

2. How We Use Information

We use information to:

• Provide, maintain, secure, and improve the Services
• Authenticate users and manage accounts and artist pages
• Process fan subscriptions, confirmations, announcements, and unsubscribes
• Record consent and prevent delivery to unsubscribed, bounced, or complaining addresses
• Monitor email deliverability, enforce sending limits, and prevent abuse
• Respond to support and data-rights requests
• Analyze usage and diagnose technical problems
• Comply with legal obligations and protect our rights and users

We do not sell personal information or share it with third parties for their own direct-marketing purposes.

3. How We Share Information

Artists

When a fan subscribes to an artist, that artist can view and manage the fan's email address and subscription status and use Greenroom to send announcements to that fan. Each artist is responsible for the messages they create and for honoring the consent requirements that apply to their audience.

Service Providers

We share information with providers that help us operate the Services, including:

• Clerk: Account authentication and identity services
• Amazon Web Services: Email delivery and delivery-feedback processing, including Amazon SES, SNS, and SQS
• PostHog: Product and website analytics
• Hosting and Database Providers: Secure application hosting and storage

We provide these providers with information as needed for them to perform services on our behalf. Their processing is also subject to their own privacy and security terms.

Legal and Safety Disclosures

We may disclose information when required by law or when reasonably necessary to protect the rights, property, security, or safety of Bandworks, our users, or others.

4. Email Choices and Unsubscribing

Fans who subscribe on an artist page must confirm their email address before receiving announcements. Every Greenroom announcement includes a visible unsubscribe link and supports one-click unsubscribe where the receiving email service supports it.

Unsubscribing from one artist does not unsubscribe a fan from other artists. Hard bounces and spam complaints may suppress an address across Greenroom to prevent further unwanted or undeliverable email.

You can also stop Bandworks or Greenroom waitlist and product-update emails by using the unsubscribe instructions in those messages or by contacting us.

5. Data Retention

We retain information for as long as needed to provide the Services, maintain security and consent records, honor unsubscribes and suppressions, resolve disputes, and comply with legal obligations. Retention periods vary based on the type of information and why it was collected.

Artists can delete contacts from their Greenroom fan list. Suppression information and announcement delivery records may be retained when needed to prevent unwanted delivery, preserve sending totals, or comply with law. After a contact is deleted, related delivery records no longer retain the fan-subscriber reference.

6. Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of your personal information. You may also object to certain processing or withdraw consent where processing is based on consent.

To make a request, email hello@bandworks.app. We may need to verify your identity before completing a request. Fans may also contact the relevant artist about information held in that artist's fan list.

7. International Processing

Our providers may process information in the United States and other countries, where privacy laws may differ from those where you live. We handle international transfers in accordance with applicable law.

8. Security

We use reasonable technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Children's Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us so we can review and delete it where appropriate.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the "Last updated" date.
